Adding Project Members

Project Administrators can add new members to the Project.

Instructions

Creating a Project Invitation

  1. Launch your Project and open the Members page, then click + Add Member.

  2. Enter the user’s email address and assign a Project Role (see Understanding Project Roles).

  3. Click Submit to continue.

  4. Follow the prompts to review the provided information. Click Send to complete the invitation, or Cancel to exit without sending.

    1. If the invited member already has a user account on the platform, they are added to the Project immediately and their member details will appear in the Project members page. The member will receive an email notification that their new Project access has been granted.

    2. If the invited member does not already have a user account on the platform, they will receive an email with instructions on completing their account registration. For details on this process, see Getting Started with a Project.

Note that a user account is not considered Active until the user has created their account and logged in for the first time.

Checking Project Invitation Status

To check the status of pending invitations for new users who don’t yet have an account, navigate to the Project and click Members > Invitations . The following statuses are possible in the Invitations Table:

Pending

The invited user has not completed their account registration. The invitation link is valid for 30 days but can be expired manually before 30 days by clicking Action > Expire

Expired

The invitation link has expired. To re-invite the user,click Invite User to restart the invitation.

Completed

The user has registered their account. Their account is also listed in the Platform User table. The account is not considered Active until the user has logged in for the first time.

If the invited member receives more than one Project invitation before they have activated their account, they can use any of the invitation links to activate their account and gain access to all invited Projects.

Cancelling a Project Invitation

A Project Administrator can cancel a sent Project invitation if the user has not yet activated their Pilot account. (If the member has already activated their user account, they can be removed from the Project. See Removing Members from the Project).

  1. Navigate to the Project and click Members > Invitations.

  2. Locate the Project member invitation, click the Action icon (three dots), then Expire.

  3. Confirm you wish to cancel the invitation and click OK to proceed or Cancel to exit.

  4. The link provided in the user’s invitation email will be immediately deactivated and cannot be used to register their user account or join the Project.

 

Troubleshooting Project member invitations

  • Conflict error when attempting to invite a user to a Project.

    • The user has previously been invited to the platform in one or more roles that conflict with the Project invitation. Please contact a Platform Administrator for assistance.

  • Project member invitation status changed from Pending to Expired in the Project members table.

    • The user has not activated their account before the invitation expiry period. You may reattempt to invite the user.

    • The user received invitations to conflicting roles, and activation of one role forced cancellation of the current Project invitation. Please contact a Platform Administrator for assistance.

  • Project invitation could not be sent with warning Inactive user

    • The invited member has not completed activation of their account (by logging in for the first time), or their account has been suspended. Check with the invited member or a Platform Administrator to confirm account status.
